\noindent{\it Apologies:\/} Sandra McLaughlin, Wojtek Rypniewski.
Dave Love apologised that it had not been possible to get the minutes
of the previous meeting approved and sent out before this one. He
also apologised for arriving late and thanked Peter Daly for taking
minutes at the start of the meeting.

\section{Minutes of the previous meeting and matters arising}

The minutes of the meeting held on October 8th, 1992 were agreed,
except that Don Akrigg had been omitted from the list of attendees.

Licences for SQUASH (costing \pounds200) should be requested from
Michael Woolfson at York.

Dave Love reported that a requisition had been made out for a CCP4
workstation at Daresbury, probably funded half by Daresbury and half
by CCP4, although he didn't know if the money was actually available
to buy it.\footnote{It (a Sun IPX plus disc) has been bought.}

\section{Secretary replacement}

The interviews for a replacement CCP4 secretary at Daresbury were set
for January~11. Phil Evans and Neil Isaacs would be on the panel,
representing WG2 and WG1 respectively.

\section{New WG1 chairman}

Following David Blow's resignation, Neil Isaacs had taken over as
chairman of Working Group~1, effective from January~1, 1993. Apropos
of this it was pointed out that the renewal date for funding has to be
checked, although nothing will need to be done before next September
at the earliest. It was made clear that Neil was welcome to continue
attending WG2 meetings if he wished.

\section{Study Weekend report}

All speakers and chairmen of sessions had been confirmed and some
speakers had even provided titles.

There were suggestions for two possible extras. Ben Hazs (Groningen)
on very large unit cells and should be given 15 minutes if he wishes
to talk. Paula Fitzgerald would like to talk on the CIF format
and PDB; this was suggested as part of a general discussion at 10:30
on Friday. Eleanor thought 15 minutes was too short.

The applications total 237 (before Christmas) with 200 for funding.
Funding was not available for permanent posts and some others (senior
post-docs?). Most of the other can be accommodated.

No costs are available for speakers yet. Nine are from abroad.

The problems with the OHP/slides are known from last year and will
presumably be corrected. It isn't known if we can set up the lecture
hall on Thursday, but an amount of \pounds500 has been set aside.
Speakers have been asked to produce clear OHPs and, perhaps, a short
synopsis of their topic so that e.g., the CIF discussion has some
background. It had been suggested to speakers that OHP was preferable
to slides.

\section{Policy for next release of suite (including final supported
  programs list)}

Dave Love solicited opinions about the timescale for the next release
of the suite and what should be in it. It was suggested that it would
be nice to have a new release done by the time of the study weekend.
Dave held out no hope of doing it that soon. The
previously-circulated version of the supported and unsupported
programs list was approved with minor changes\footnote{{\tt fft}
  supported by Phil Evans, {\tt rwdict} and {\tt rwcontents} to be
  kept unsupported, {\tt hlbgen} to be kept, probably in the {\tt
    libd} directory.}. The final version will depend on the
availability of, for instance, AMORE and ARP when the release is made.
It was suggested that use of {\tt xloggraph} should be stressed and
that it should be considered part of the suite, rather than
`aggregated' as at present and that the LAUE software should not be
distributed automatically on tapes as it increases the size of the
distribution considerably. No definite conclusion was reached about a
policy for the new release.

Apropos the new release, the question of the documentation was raised.
This was accepted to be in need of improvement. Neil Isaacs proposed
the use of separate documentors, probably students, as it was agreed
that the implementors were often too close to the programs to realise
the sticking points. It was agreed that this was a good idea and that
students could be paid for the work. Neil proposed a `documentation
workshop' in the same spirit as previous `programming workshops'.
Active canvassing of problems from users was encouraged and it was
proposed to circulate Study Weekend attendees with a letter requesting
information on problems they found with the suite.

Dave Love was asked to write something about documentation standards
and mechanisms, having expressed dissatisfaction with `man' pages for
this purpose. He had tried to write a man page saying how to write
man pages for the suite but considered it unsatisfactory and Phil
Evans had been unable to understand it.

The examples also needed work since many were obsolete and were not
supplied with usable data to run them. Eleanor Dodson offered to have
a York student work on them and the meeting agreed to fund this to the
tune of \pounds150. Dave Love was asked to investigate a mechanism
for paying this money from the CCP4 budget.

\section{Policy on various recent enquiries}

Dave Love had received several recent enquires which required
decisions.
\begin{itemize}
\item A letter had been received from Rigaku asking if they could
  redistribute CCP4 in Japan along with RAXIS software to their
  customers. Eleanor Dodson was strongly against this, citing the
  previous record of Rigaku regarding MOSFLM and their connexion with
  MSC (licensing SQUASH)\@. The matter was referred to the
  forthcoming WG1 meeting and Dave Love to write back and tell Rigaku
  so.
\item Stefan Knight had asked whether it was possible to restrict
  distribution of his RSPS program to academic users only. This was
  deemed impossible if it was donated to CCP4. Dave Love is to
  contact him and explain.
\item Toshihiko Akiba from the `non-profit' Matsushita International
  Institute for Advanced Research had enquired whether his institute
  was considered a commercial one or not. The meeting decided that it
  should be considered commercial unless it was the case that it was
  funded publicly or charitably.
\item Andrew Quick from ULCC had written to Peter Lindley enquiring
  whether CCP4 could `use any spare hands' and specifically offering
  to parallelise or vectorise code. Dave Love had responded by
  e-mail, inviting him to a WG2 meeting if he was interested, but had
  had no reply. Ian Tickle knew Andrew and was asked to contact him.
\end{itemize}

\section{Any other business}

Dave Love had found minutes of the CCP4 steering panel from September
which suggested, amongst other things, that there was supposed to be
formal collaboration between CCP4 and CCP11 (SEQNET), including a
joint meeting. No-one knew anything about this. Dave Love would
enquire of the SEQNET person.

Dave Love sought approval for his current policy of charging a
\pounds50 handling and media fee for all tape orders; this was both to
cover the cost of involved and also to discourage those who could use
ftp. (Previously this fee had been charged only on some orders.) It
was suggested that perhaps the fee should be higher to act as more
discouragement to order tapes, but it was agreed to keep it at
\pounds50.

There was discussion about licensing and updates for commercial users.
It was agreed that the \pounds5000 fee was annual and entitled the
contributors to update tapes that annum. Such updates would normally
only be for new major versions. More careful track needed to be kept
at Daresbury of commercial orders, particularly the dates they were
sent, and an effort made to solicit renewals. Commercial users should
be sent hardcopy of bug fixes etc.---the current stated policy is that
such announcements are only made electronically.

Ian Tickle mentioned that the community was short of numerical
analysis expertise and would be interested to know of any sources of
such.

\section{Venue and date of the next meeting}

The next meeting was set for Wednesday, March 17, 1993 at Birkbeck
College, \mbox{11--30~am}.\vspace{2ex}
